Office Manager & HR Coordination

Start date: September 1, 2020
Fulltime position (36-40 hours/week)

Are you ready to take our people processes to the next level, making sure everything in our office runs like clockwork? Then join our international team as our new Office Manager & HR Coordinator. 

We are ParkBee. A team of ambitious frontrunners with different backgrounds but one common goal: making better use of existing parking space, so we can give space back to the city. Over the last few years, we have grown from an ambitious start-up to an even more ambitious scale-up. We have offices in Amsterdam and London. Our team is very diverse, with currently 14 nationalities.

As we are a fast growing organisation, we onboard new colleagues very frequently. This makes our people processes more and more challenging. That’s why we’re looking for someone who can smoothly coordinate this, making sure we are onboarding new colleagues properly and that our workflow is improved to the highest possible level. 

What you’ll be doing:
As part of the People & Culture team at ParkBee, you will have a very central role of the organisation. It’s your responsibility to think about what's needed today in the office or related to our people processes. Even more important, you’ll also think about how to create and improve processes so they’re scalable and also fitting for when we grow even further. We hope to double in size, so quite the challenge! 

In your role, you are the first point of contact for our employees in the Amsterdam office. You have full responsibility for allround office management, as well as supporting the People & Culture team in HR. You make sure that all our “Bees” (as we lovingly call our colleagues) enjoy coming into the office, and that all visitors leave with a smile. You also make sure that HR processes run smoothly, and therefore manage tasks such as payroll and holidays.

You are responsible for all small things that matter greatly. A personal present on birthdays, a handwritten card at work anniversaries, and all other surprises that show we go the extra mile for our team. At the same time, you’ll work on interesting bigger projects, like moving offices in Amsterdam, which you’ll be in charge of right after you start your new job.

In this role, you: 

  • Oversee everything that happens in and around the office. You are the go-to person for our colleagues in regards to all office and admin-related matters. 
  • Onboard new colleagues and make sure they’re supplied with all the equipment they need.
  • Manage our employment contracts, IT, supplies related to office equipment, and food & beverages. You make sure it’s always there, but will also ensure broken hardware gets fixed asap
  • Have HR-related responsibilities such as setting up employment contracts, being responsible for the payroll administration, and managing sickness and holidays.
  • Manage and keep a good overview of our people processes and improve these regularly to the business needs.

 

Who we’re looking for:
We need someone who is passionate about organising and loves to work with people, while also having excellent stakeholder management skills. Someone who doesn’t just do the job, but who loves the idea of making the office a more inspiring place. You are eager to improve current processes, and you are bright, creative and ‘zen’. Even in the busiest of times, you are able to keep a cool head with your planning and organisational skills.

We are looking for the best candidate possible, therefore you:

  • Have experience working as an office or facilities manager,  with a proven interest in the HR environment.
  • Are hands-on, detail-focused and love organising. You always go the extra mile for people and at the same time love to get things done.
  • Are always thinking one step ahead in your work. You foresee issues, and initiate and implement smart solutions so we’re ready for the future.
  • Have high level of initiative and ability to work independently (as part of a bigger team)
  • Are fluent in Dutch & English (verbally & in writing)
  • Have good computer skills, you’re tech savvy and know what software to use for each of the challenges you encounter.
  • Have a background in hospitality (this is a plus, but not a must).
  • Can start as soon as possible, ideally the 1st of September and are available at least 36 hours per week.
